I. RESPONSIBILITIES
1. Please schedule 15 minutes soon after your arrival when staff can greet and orient your group.
2. You are responsible for keeping nightly records of occupancy, and daily records of day-only attendance. Each night your group exceeds your contract’s base size, you will be charged for extra people. When a group is larger than its base size: extra adults overnight pay the advertised overnight charge (see contract); extra day-use-only adults are half the cost of overnight guests; extra children (ages 3-11) are half the cost of adults; children 2 years of age and younger are free. Average attendance will not be used for billing purposes. If your contract includes the Sojourners Cottage or the Haven , people sleeping in these buildings are considered part of your group (e.g., for determining extra charges when exceeding the base size).
3. Your group is responsible for cleaning the facilities and sleeping quarters before final departure. Quaker Center reserves the right to bill your group for housekeeping fees and administrative time if the facility is not left in the same condition that you found it upon your arrival.
4. Please arrive and depart within the times stated on your contract with Quaker Center. Call the office if you would like to arrive early or depart late; we can usually be flexible.
5. Your group is expected to cooperate in maintaining a tranquil and restful atmosphere for all persons using the facility, including other groups, sojourners, residential staff, and neighbors. After 10:30 p.m. and before 7:00 a.m., noise must be limited to quiet indoor conversations. After midnight, it is expected that there will be no noise.
6. Each group provides its own bedding (sleeping bags or sheets and blankets) and pillow cases (pillows are provided), towels, and soap. A very limited number of linens (sheets, towels, and pillow cases) are available for those who arrive by public transportation or are otherwise unable to bring their own linens. A laundering fee of $8.00 will be charged. Additional items that members of your group may like to bring include good hiking shoes and insect repellant. Flashlights are essential.
7. Shoes and food are not permitted in the Casa de Luz, the large meeting space associated with the Orchard Lodge. In colder months, we recommend that friends bring warm slippers.
8. Your group is financially responsible for all damages to Quaker Center as a result of your stay. Quaker Center is not responsible for the loss/damage of personal possessions.
9. Quaker Center does not provide meals or catering services to groups. You may cook for yourself or hire a cook. Quaker Center can provide referrals for independent cooks with whom you may contract directly. Your group is responsible to ensure that the kitchen is used in compliance with the State of California and Santa Cruz County Health Department health and safety standards.
10. Groups are responsible for liability coverage for their programs at Quaker Center. Please complete and return the Liability Insurance statement attached to your contract.
II. RESTRICTIONS
1. No pets are allowed at Quaker Center. The only exception is for working companions of the disabled.
2. Smoking is very restricted at Quaker Center. It is not permitted in any of the buildings or on any of the trails. Smoking is limited to the hard gravel parking lots outside of kitchens at each of the Lodges and outside of the Casa de Luz. Candles can be used only with the prior permission of the Directors. Incense is not permitted because the smells permeate fabrics and linger long beyond your stay.
3. Please do not post your own signs on the road up to Quaker Center. Direct your participants to follow the “Quaker Center” signs from Highway 9 up Hubbard Gulch Road. Please tell your group members whether they are coming to the Orchard or the Redwood Lodges. (Groups using both facilities use the Orchard Lodge as a central registration location.) At the “T” intersection outside the office, the Quaker Center staff will post signs directing your group to the proper facility.
4. Outdoor camp fires are only allowed with the prior approval of a staff member and only in the designated fire circles.
III. OTHER ITEMS
1. Please have your participants receive phone calls at the telephones near your dining facility:
Orchard Lodge: (831) 336-9665
Redwood Lodge: (831) 336-9666
2. Quaker Center stocks cleaning supplies and paper products for our customers including toilet paper, paper towels, trash bags, paper napkins, detergent and cleanser. We encourage all groups to consider the environmental impact of their visit, asking you to help us conserve energy, water, and consumable products. Please place your vegetable matter in our compost pile and place recyclables in our bins. If members of your group bring their own cloth napkins, you can help us save resources.
3. The Redwood Circle is available for group activities. When more than one group is present, please coordinate use of the Redwood Circle through the Directors. We ask that you respect the privacy of others when they are in the Redwood Circle.
4. Parking is very limited. Individuals are encouraged to share rides to and from Quaker Center or use public transportation.
IV. CHILDREN AND YOUTH
Quaker Center is a wonderful place for children to explore and enjoy. Groups are responsible for the behavior of their children and are expected to provide continuous and responsible supervision of minor children, including times when the primary childcare providers are having their meals and taking breaks. Swings and outside play structures are provided for your group’s entertainment. All buildings other than those designated on your contract are off limits to exploration.
